§ 2.483. Microfilming and electronic record retention programs.

  • (a)

    The city clerk is authorized to microphotograph, microfilm, or scan for electronic record retention all city records in the city clerk's custody, including but not limited to ordinances, resolutions, contracts, deeds, conveyances, notices, letters and other records.

    (b)

    Other city departments are specifically authorized to microphotograph, microfilm, or scan for electronic record retention in their respective departments.

    (c)

    All microphotograph or microfilm processes shall accurately and permanently copy the pertinent public records on film and shall comply with the following:

    (1)

    Indices shall be maintained on each microfilm system.

    (2)

    Any microfilm system adopted shall meet the requirements of state law for archival quality, density, resolution and definition.

    (3)

    The city secretary and the head of each department adopting microphotograph or microfilm systems shall review and certify that each microfilm record is a true and correct duplication of the original public record.

    (4)

    The microfilm records shall be open to the public as provided by the Public Access to Information, V.T.C.A., Government Code, § 552.001 et seq.
